Manage orders in the admin

Find, read and work orders from the admin: the list, filters, the detail page and status changes.

The Orders page is your record of every order that's come in: who ordered, what they ordered, and where it is in the status flow. This article covers finding orders, reading the list, and working an order from its detail page. During a live service most staff do this from the mobile app, but the web admin gives you the same controls and a fuller view.

Find an order

Open Orders from the sidebar. Across the top you have three ways to narrow the list:

  • Search by order number or customer name or email.
  • Date range, using the From and To fields, to pull up a particular day or week.
  • Status tabs: All, Pending, Received, Preparing, Ready and Delivered. Click one to show only orders at that stage.

If you run more than one branch, the location selector in the top bar filters the whole page to a single location.

Read the list

Each row shows the order number, the customer's name and email, the location (when you have more than one), the date and time, the total, and a coloured status badge. The newest orders sit at the top.

Open an order

Click any row to open its detail page. This is where the full picture lives:

  • The order number, its status, and whether it's Collection or Delivery.
  • The total, the payment method, and the expected or scheduled time.
  • The customer's name, email and phone.
  • The delivery address (or collection note) and any note the customer left.
  • The items, with quantities and modifiers, and a totals breakdown including discounts, delivery fee and tip.

Change the status

The Update Status panel shows buttons for the order's valid next steps, for example Mark as Preparing then Mark as Ready. Press one to move the order along. The customer is emailed automatically on each change, and the status writes go through a checked path so a cancel can trigger a refund where one's due. To cancel an order, use Mark as Cancelled and pick a reason; Cancel and refund an order covers that in full.

Print and email log

The order detail also has a Print button for a kitchen or counter receipt, and an Email log for this order link that shows exactly which emails were sent to the customer and when, which is handy if someone says they didn't get a confirmation.
