Customise email templates

Customise the subject and wording of each email type (Business plan).

Published June 2, 2026

You can change the subject line, the heading, and the body wording of the emails MenuDock sends, so they read in your own voice rather than the default copy. This article covers where to do it and what you can change.

Template customisation is a Business plan feature. On Starter and Pro you can still turn each notification on or off from the email notifications page, but the editor that lets you rewrite the wording is only available on Business. If you open it on a lower plan, MenuDock sends you back to the list.

Open the editor

  1. Open Settings → Notifications → Email from the admin sidebar (or go to /admin/settings/notifications/email).
  2. You'll see your notifications grouped into Admin and Customer. Each row has an on/off switch.
  3. On Business, select a notification to open its editor.

The email notifications settings page: Sender settings at the top, then the Admin and Customer notification groups, each row showing the notification name, its description and an on/off toggle.

What you can change

The editor lets you set, per email type:

  • Subject — the subject line the recipient sees.
  • Heading — the large heading at the top of the email body.
  • Additional content — extra text you want to add to the body.
  • Recipient override (admin emails only) — send this particular admin email to a specific address instead of the default admin notification address.

Leave a field blank and MenuDock uses its built-in default for that email. So you can rewrite just the subject and leave the rest alone.

Placeholders

Subjects and headings can include placeholders that MenuDock fills in when it sends. The editor lists the ones available for the email you're editing — for example {order_number} and {restaurant_name}. Type a placeholder into the subject or heading exactly as shown and it gets swapped for the real value at send time. The available list changes per email type, so check the list shown on each editor rather than assuming a placeholder exists everywhere.

Sender settings apply to every email

Above the notification list, the Sender settings section sets things that apply across all of your emails rather than one type:

  • From name — the display name on your emails.
  • Reply-to email — where replies go.
  • Admin notification email — the inbox your admin alerts go to.
  • Accent colour and footer text — light branding for the email layout.

Sender settings are separate from the per-email templates. You can set those without being on Business, but rewriting the per-email subject/heading/body is the Business-gated part.

Password reset and welcome emails

These two aren't in the editable list. They're produced by the sign-in system rather than this notification engine, so their wording isn't customisable here.

When to change this

  • Your brand voice is more (or less) formal than the defaults.
  • You want to add collection instructions, parking notes, or a thank-you line to a specific email.
  • You want admin alerts for one order type to reach a different inbox.
