Your storefront needs a few policy pages: a privacy policy, terms and conditions, and somewhere customers can read how refunds work. MenuDock gives you editable content pages for these, with platform default text you can keep or replace. This article gives you a plain-English starter template for each one that you can adapt and paste in.
These templates are a starting point, not legal advice. Read the note at the end before you publish anything.
Where your policy pages live
You edit these pages under Settings → Content Pages in your admin sidebar. There are three pages: Privacy Policy (shown at /privacy), Terms & Conditions (at /terms) and Allergy Information (at /allergens). All three link from the footer of every storefront page. There is no separate "About" page.
Each page carries a default text from MenuDock and a Use default / Customize toggle. Switch a page to Customize, write or paste your own text, and press Save changes. The editor is plain text, so leave a blank line between paragraphs to keep them separate when the page renders. For the full walkthrough, see edit your content pages.
You don't need MenuDock's permission to use the defaults, and you can put your own wording in at any time. The templates below cover privacy, terms and refunds. The refund text usually lives inside your terms and conditions, since there isn't a dedicated refund content page.

Paste this into the Privacy Policy tab and fill in the brackets.
Privacy Policy for [Business name]
This policy explains what personal data we collect when you order from us, why we collect it, and your rights over it. We are [Business name], [registered address]. For any privacy question, contact us at [contact email].
What we collect
- Your name and contact details (email and phone).
- Order and delivery details, including your delivery address where you order delivery.
- Payment details are handled by our payment provider. We do not store your full card number.
Why we collect it
We use this data to take and fulfil your order, to contact you about it, and to keep records we are legally required to keep, such as tax and accounting records.
How long we keep it
We keep order records for as long as the law requires, which for UK tax and accounting is at least six years.
Your rights
Under UK GDPR you can ask to see the data we hold about you, correct it, or have it deleted. To make a request, email [contact email]. We will respond within one month.
Cookies
Our ordering site uses cookies needed to run your basket and checkout. We do not use them to track you across other websites.
This policy was last updated on [date].
If a customer asks to have their personal data deleted, point them at your contact email above. If your own MenuDock login or workspace is what needs deleting, that's a separate process: see close an account / delete data.
Terms and conditions template
Paste this into the Terms & Conditions tab.
Terms & Conditions for [Business name]
These terms apply when you order from [Business name] through this site. By placing an order you agree to them.
Who we are
[Business name], [registered address], contact [contact email] / [phone].
Orders
When you place an order you are making an offer to buy. Your order is accepted once we confirm it. We may decline an order, for example if an item is unavailable or we cannot deliver to your address, and we will refund any payment if we do.
Prices and menu information
Prices are shown in pounds sterling and include VAT where it applies. We try to keep menu, allergen and dietary information accurate, but if you have a food allergy please check with us directly before you order. See our Allergy Information page.
Collection and delivery
[Describe your collection and delivery arrangements, including any delivery area, minimum order and delivery charge.] Estimated times are estimates, not guarantees.
Cancellations and refunds
[Set out when an order can be cancelled and how refunds are handled, or refer to the refund policy below.]
Governing law
These terms are governed by the law of [England and Wales] and any dispute will be dealt with by its courts.
These terms were last updated on [date].
Refund and cancellation policy template
You can include this as the cancellations section of your terms, or as a clearly headed block on the same page. Make sure it matches how refunds actually work on your store: money goes back to the customer through the same provider they paid with. For the operator side, see how refunds work.
Refunds and Cancellations
If something is wrong with your order, or you need to cancel, contact us as soon as you can at [contact email] / [phone].
When we refund
- If we cancel or cannot fulfil your order, we refund it in full.
- If an item is missing or not as described, we refund that item.
- [State your own position on customer-requested cancellations, for example whether an order can be cancelled before the kitchen starts preparing it.]
How refunds are made
Refunds go back to the original payment method, through the payment provider you paid with. We do not refund to a different card or by cash for an online payment.
How long it takes
We process refunds [within X working days] of agreeing them. Your bank or card provider may then take a few more days to show the money in your account.
Cash orders
Orders paid in cash on collection or delivery are settled in person and are not refunded online.
Your allergen information
For a food business this page matters most. UK food law expects you to make allergen information available to customers, so keep your Allergy Information page accurate and current. Write your own statement rather than leaning on a default: cover how customers should ask about allergens, how you handle cross-contamination, and who to speak to in your venue.
The content page holds your general statement. The item-by-item detail comes from each product's allergen data, which shows a "Contains:" line on the storefront. Update a product's allergens whenever a recipe or supplier changes, so the menu stays right at the point of ordering. Full detail is in Allergy information.
A note on legal advice
These templates are a starting point, not legal advice. They are short skeletons to get you moving, and they will not be right for every business as written. You are responsible for the policies on your storefront. Review and adapt them for how you actually operate, and if you are unsure, have them checked by a solicitor or another qualified professional. MenuDock does not provide legal documents or legal advice, and we can't take responsibility for the wording you publish.
