What each role can do, and which roles work in the web admin versus the mobile app only.

MenuDock has four roles: Owner, Manager, Staff and Viewer. The role you give a teammate decides what they can see and change, and whether they work from the web admin panel, the mobile app, or both. This article lays out exactly what each one can do.

The four roles in plain terms

  • Owner runs the whole store: billing, team, settings, menu, orders, reports. There's always at least one Owner and they always see every location.
  • Manager runs the day-to-day: menu, orders, settings, discounts and reports, but not billing or the team. Can be brand-wide or limited to specific branches.
  • Staff takes orders on the floor. Mobile app only, assigned to one or more branches.
  • Viewer looks but doesn't touch. Read-only web access to the dashboard, orders and reports.

Where each role works

This is the part people most often get wrong, so it's worth being clear:

Staff is the mobile-only role. A Staff member signs in to the MenuDock app to take and update orders at their assigned branches, and has no access to the web admin panel at all. Viewer is the opposite: web-only, and read-only at that.

A few things to read out of that table:

  • Billing, team and locations are Owner-only. No other role can change your plan, add a teammate, or add a branch.
  • Manager is the "everything except money and people" role. Good for a head chef or shift lead who runs the menu and the floor but shouldn't see invoices.
  • Staff can manage orders but nothing else, and only from the app at their assigned branches.
  • Viewer can read reports but never changes anything. Handy for an accountant or a silent business partner.

Scope: limiting a role to certain branches

For Manager, Staff and Viewer you can narrow access to specific locations rather than the whole brand. This only matters if you're on Business with more than one branch.

  • Owner is always brand-wide.
  • Manager and Viewer default to all locations but can be pinned to specific ones.
  • Staff must be tied to at least one branch.

A teammate with a location scope only sees orders, settings and reports for the branches they're assigned to. See Add a teammate and assign a role for how to set it.

When to change a role

Promote someone to Manager when you want them running the menu and orders without seeing your billing. Move a floor person to Staff so they only get the app. You can't demote the last Owner, so promote a replacement first if you're handing the store over.
